What Reputation Management Actually Means
Reputation management is the ongoing process of monitoring, building, and protecting what people say about your business online — and making sure that what they find when they look you up reflects the quality of work you actually do.
It includes:
- Getting a steady flow of new positive reviews on Google
- Responding to every review, positive and especially the negative ones
- Monitoring what's being said about your business across review platforms
- Addressing negative feedback before it damages your ranking and reputation
- Making sure your overall star rating accurately reflects your actual customer satisfaction
It's not about playing with the system or creating fake reviews. It's about making sure the real experiences your real customers have with you are actually showing up online — consistently, recently, and in enough volume to give Google and potential customers confidence in your business.
Why Online Reviews Are More Powerful Than Word of Mouth
Word of mouth used to be the most powerful marketing tool a small business could have. In a small community like Tavistock or Lucan, if you did great work and people talked about you, the phone kept ringing.
That hasn't changed, but it has evolved.
Today, word of mouth happens online. When someone in Strathroy asks their Facebook group "does anyone know a good electrician?" they get 12 replies. Then the person asking goes to Google and looks up each of those recommendations. The one with 40 reviews and a 4.8 rating gets the call.
Reviews are the new word of mouth. And unlike old-fashioned word of mouth, they don't expire. A 5-star review from two years ago is still visible to every potential customer who looks you up today. So is a 1-star review from three years ago that you never responded to.
The Three Parts of Reputation Management
1. Building reviews proactively
The businesses with strong reputations online didn't get there by accident. They have a system for asking customers for reviews — whether that's a text message sent automatically after a job, a direct ask in person, or a follow-up email with a link. They ask consistently. They make it easy.
2. Responding to every review
Every review deserves a response, positive and especially the negative ones.
Responding to positive reviews shows the customer you appreciated their time — which makes them more likely to leave another review next time. And it shows every future customer reading your profile that you're an engaged, professional business.
Responding to negative reviews is more important and more uncomfortable. But a negative review that has a thoughtful, professional response often does less damage than an ignored one. Future customers read your response and see how you handle problems.
3. Monitoring your reputation consistently
Most business owners only look at their Google reviews when something bad happens. By then, the damage is often already done.
Monitoring means checking regularly — your Google rating, your Facebook reviews, any mention of your business name online. Catching a problem early means you can address it before it affects your rankings.
What Good Reputation Management Actually Looks Like
For a small business in SW Ontario, here's a practical system:
- Ask every happy customer for a Google review, right after the job, by text
- Set aside 15 minutes a week to respond to any new reviews
- Check your overall Google rating monthly
- Address any negative reviews within 48 hours
That's it. Nothing complicated. But most businesses don't do it consistently — which means those that do have a significant advantage.
When to Get Help
If you're getting fewer than 2 new reviews a month, if you have unanswered negative reviews, if your star rating is below 4.3, or if you just don't have time to manage this yourself — that's when professional reputation management makes sense.
